Illustrative example inputs

These starting values show how the math works. They are not industry averages, customer results or a quote.

InputExample value

Selected staffed consultation minutes

One compatible staff/time pool and period.

480

Minutes already committed in this pool

Actual same-unit schedule commitments and protected time.

360

Inquiries in the proposed group

Defined nonpersonal intake group, not confirmed consultations.

20

Assumed booking response

A stated scenario percentage, not an observed forecast.

40%

Minutes per selected consultation equivalent

Actual business scheduling assumption, not clinical timing advice.

30

Example results

MeasureResult

Signed remaining staffed minutes

Negative values show an existing entered overload.

120

Modeled new consultation minutes

Stated assumed response multiplied by selected duration.

240

Modeled time shortfall

Keeps existing overload visible even at zero new response.

Model assumptions

  • Available and committed minutes use one compatible staffed pool and period.
  • Inquiry response is explicitly an assumption, not confirmed booking evidence.
  • Fractional consultation equivalents are planning quantities, not real partial appointments.
  • Actual room, provider, clinical and schedule requirements need their own review.

Read alongside these results

  • No appointment, clinical decision or provider schedule is changed.
  • The scenario predicts no actual response, treatment demand or clinical outcome.
  • Use actual confirmation and attendance records for outcome reporting.

Your campaign is ready to promote consultations, but the front desk has limited time left in the selected schedule. Verify existing commitments before advertising availability. A marketing response assumption creates no staff time, room or qualified provider. A submitted form does not reserve any of them or establish a confirmed appointment.

The scenario compares one defined consultation-time pool with modeled booking demand. Its starting values are fictional. Enter nonpersonal totals and your stated assumption. The tool books no appointments and forecasts no treatment demand. Use actual staffing, scheduling and qualified service review before offering a customer a date or confirming availability.

Define the time pool you are reviewing

Use the same consultation type and staff-time unit for available and committed minutes. An empty room does not prove the required employee is available. Include breaks, other duties and existing bookings in the actual schedule. Do not combine unlike roles as though their minutes were interchangeable capacity for the same appointment.

Record the period and source date beside the totals. Review the actual staffed block rather than every minute the premises are open. Different consultation requirements need appropriate separate pools. This public scenario does not replace the appointment system or establish clinical staffing, provider qualifications and eligibility rules for the service.

Label expected response as an assumption

Set a booking-response percentage for the selected inquiry group. Use historical evidence when appropriate, keeping its period and limits visible. Multiplying requests by the assumption produces consultation equivalents, not confirmed people. A fractional result is a planning quantity. Half an equivalent does not mean half an appointment has been booked.

Choose the consultation duration allocated by your actual scheduling process for the scenario. The worksheet does not set medically appropriate appointment lengths or treatment frequency. Have the responsible reviewer confirm staff and service requirements. Do not copy a marketing example into the clinical calendar as though the example established those requirements.

Read the fictional time shortfall

The fictional example starts with 480 staffed minutes and 360 already committed, leaving 120 minutes. Twenty inquiries at a 40 percent booking assumption model eight consultation equivalents. At 30 minutes each, new modeled demand is 240 minutes. The shortfall is 120 minutes against remaining time. None of these equivalents is a confirmed booking.

Keep signed remaining time visible when existing commitments exceed entered availability. A lower response assumption does not solve a real scheduling overload. At zero assumed response, modeled new demand is zero, but an existing deficit still needs review. Neither result authorizes appointments or changes the actual source schedule.

Route a scheduling question before advertising a date

HubSpot documents task owners, due dates and associated records. Use equivalent fields to assign a source check, such as verifying the staffed block or reviewing an unresolved request. Completing a marketing task does not establish scheduling confirmation. Keep the actual appointment outcome in its appropriate authorized record, with its own evidence.

Review the offer's claims and contact purpose. The FTC's health-products guidance addresses evidence for express and implied health-related advertising. Do not turn a capacity scenario into a promise of suitability, results or required return visits. Confirm actual customer dates through the business's scheduling process, not through the calculator or proposed campaign wording.

Use owner information without assuming live capacity

BlueFinch's dashboard groups enabled merchant tools and available connected information. It does not replace every clinical scheduling platform or make delayed data live. Check account access, integration scope and source freshness before relying on an overview. The demonstration uses fictional data and reserves no consultation time for a customer.

Download two scenarios if different response assumptions help the owner review. Keep the original commitments, period and source definition with both. Resolve the actual time gap or limit the campaign scope through the responsible process. Report modeled demand, confirmed appointments and attended consultations separately instead of presenting the scenario as a booking result.
