For a group tint booking, identify which deposit belongs to each accepted vehicle job and who paid the original collection. An organizer arranging appointments is not automatically authorized to approve every charge or receive every refund. Keep job allocation and payer authority separate. Your front desk should see the remaining balance for each vehicle without counting the group deposit more than once.

Confirm each accepted vehicle scope

Retrieve the agreed work, price and appointment for every vehicle in the group. An organizer’s initial estimate might not match the final accepted film or coverage for each job. Use internal job references rather than one note containing several informal prices. Identify the customer or authorized buyer role for the actual scope approval. The person driving a vehicle into the shop might have a different role.

Record what the organizer accepted about the deposit allocation and any permitted changes. Do not impose a universal group cancellation or refund rule through the worksheet. The accepted agreements and applicable requirements govern the actual decision. If one vehicle drops out, review its payment allocation independently from the work still planned for the remaining vehicles. The tint deposit transfer ledger reviews the accepted allocation after a booking changes.

Match the deposit to the original payer

Retrieve the completed collection and provider reference. A promised group deposit or pending payment request is not verified received money. Keep the payer role and permission evidence inside the approved business system. An organizer forwarding a screenshot does not replace the provider’s actual transaction record or establish authority to move money between unrelated customer jobs.

The group ledger records the group reference, individual vehicle-job reference, original collection reference, approved deposit allocation, accepted job total, remaining collection decision and office owner. Use one row per job and internal codes. Customer names, vehicle identifiers, contacts and card credentials stay outside the public tool. A filled row records an allocation but does not create a charge authorization or prove another payer accepted it.

Work through a fictional three-vehicle deposit

Consider an illustrative $300 completed group deposit allocated as $100 to each of three accepted vehicle jobs. If each current accepted job total is $400, each row shows $300 remaining before other adjustments. The group has one $300 collection, not three separate $300 receipts. Preserve the original reference while documenting the three approved allocations. The amounts are fictional, not a group price or BlueFinch offer.

If one job is canceled, review whether its $100 allocation is refunded, transferred with permission or treated another way under the accepted terms. Do not automatically give that amount to the organizer or spread it across the other jobs. A transfer is not a new collection. A refund needs its own supported provider action and status, separate from removing the appointment from the calendar.

Collect and reconcile each final balance

Before pickup, compare the current accepted total and allocated deposit with the verified provider history. Check whether another staff member has already collected the balance. Give the advisor the current payment and approval references so a busy counter does not issue another full-job request. If the original deposit belongs to a different account, preserve the supported correction route rather than improvising a second repayment.

Reconcile the completed collections, refunds and any outstanding balances for all the jobs in the group after all the appointments have taken place. This allows the owner to see a single history of the payment for the group of jobs and trace back to the deposit paid for each vehicle. It will highlight any exceptions that occurred and allows you to easily identify what role or scope question caused the exception to occur. Use the weather-delay deposit handoff when the shop requests a schedule change affecting the group.
