Before extending tint-shop campaign hours, assign someone to handle the inquiries those hours produce. A lead form arriving in the CRM is not an answered customer question or a booked job. Map the intake window, responsible role and supported next response. The owner needs to see unattended periods without treating every missed message as a lost sale or promising an invented conversion improvement.

Identify the inquiry sources and operating hours
List the website, phone, referral and campaign intake routes actually used by the shop. Retrieve the observed timestamps from the approved records for a defined period. Keep the time zone and channel interpretation consistent. A platform notification arriving later than the original message might distort the apparent response interval. Record the relevant source rather than guessing when the customer first contacted the shop.
Separate customer demand from staff availability. A campaign running during an installation-heavy period might produce questions nobody owns until later. The answer is not automatically more advertising or instant automated replies. Identify which inquiries need a film or vehicle detail, which need an appointment answer and which require an installer’s review. Different questions may need different responsible roles. The tint lead pipeline guide organizes the questions reaching each responsible role.
Define a supported first response
Write the actual next step the office is equipped to provide. A useful acknowledgment states the responsible route and a verified next update without pretending the quote is ready. Do not promise an installation slot before checking capacity or claim a chatbot completed a technical assessment. The contact process should respect recorded preferences and the applicable rules for the channel and message purpose.
The coverage calendar records the intake window, source route, primary responder, backup role, supported first-response action, handoff review and unresolved gap. Use general roles and time windows, not customer names or contacts. The worksheet does not send messages or create marketing permission. It documents the operating coverage needed for the inquiries the shop chooses to invite.
Expose a fictional coverage gap
Consider an illustrative campaign active from 5 p.m. to 8 p.m. while the office has recorded inquiry coverage only until 5 p.m. The calendar should show an unassigned evening window, not automatically assume three hours of lost sales. The owner may review a supported response plan or campaign schedule. The example is not a measured tint-shop response benchmark or an ad-platform recommendation.
Be sure to outline what the secondary person can handle in the given time frame and what questions will need to be forwarded to another primary reviewer. Unresolved film-selection questions and installation questions should be recorded as hand-offs and reported as such in your tracking for your reporting and follow-up purposes, rather than as completed quotes.
Review coverage from records, not promises
Compare your intake windows to your first responses, and your first responses to your handoffs. Look for unanswered inquiries and gaps. Don’t make up conversion numbers for small, unrepresentative samples of your communications with customers. FTC commercial-email rules apply only to commercial email, not SMS. So, ensure you understand the actual rules for each channel before trying to add another automated message to handle an operating gap.
Adjust the calendar when staff schedules or campaign hours change. Give the primary and backup roles the current task ownership and permitted contact-route references. Review whether inquiries reach the person able to answer the next question. The owner should see a manageable coverage plan tied to actual shop capacity, rather than paying for more messages while the same evening queue remains unassigned. Use the tint unbooked-inquiry review before treating a coverage gap as proof the shop’s prices are wrong.
