An advisor sends a tint quote and hears nothing for two days. Another customer says the offered date does not fit their schedule. Those are different records. One has an unresolved decision. The other has reported timing feedback. Calling both price losses pushes your shop toward a discount without supporting evidence.

The worksheet above separates a customer-reported reason, staff assumption and unknown reason. It connects the current quote, evidence and responsible next action. The rows are fictional. Use nonpersonal references instead of pasting customer conversations here. The planner changes no lead stage and contacts no one.

Check whether a loss decision exists

Wait for an actual decision before classifying the lead as lost. A quote awaiting a reply or appointment decision remains unresolved under its current status. Use a documented reporting rule for decided opportunities and preserve the observation date. Do not classify open leads as losses simply because the review meeting happened today.

Keep the quote’s current scope and version with the inquiry. A full-vehicle package, two-window request and building-film proposal are different offers. If the customer changed scope, use the correct version before interpreting the outcome. Do not compare the requested package with an older price without recording the difference.

Label the evidence behind the reason

When the customer reports why they declined, record a factual internal summary and the source reference. Keep their reason separate from staff interpretation. If the advisor suspects price but has no response, label the entry as an assumption or unknown. A competitor appearing on a map does not prove the customer chose that business.

Keep unknowns recorded as unknowns instead of forcing them into categories for a neat report. Scheduling problems, unavailable scope, open product questions and stated price objections need different work. Preserve the original meaning before assigning a category. Do not select price merely because your existing list has no alternative.

Read the missing-evidence flag before acting

The fictional first row records customer-reported timing feedback with a source reference. The second reports a price reason but lacks the underlying evidence. The worksheet flags the missing source when customer-reported is selected. Change the basis to staff assumption if no customer statement exists, rather than creating an evidence reference for a conversation that never happened.

An evidence field filled with text is not independent confirmation. The reviewer still needs to inspect the actual authorized record. Keep any follow-up tied to the customer’s instructions and your contact process. A declined lead is not permission for repeated promotional messages or a reason to erase an opt-out.

Make a change matched to the actual reason

For a confirmed scheduling issue, review availability and the dates offered. For missing product information, assign the advisor with the correct reference. If the service page leaves that question unanswered, Google’s helpful-content guidance supports a useful, source-backed answer. For a stated price objection, check the actual scope and cost boundaries before approving a revised offer.

Use your CRM’s owner, associated-record and due-date fields for the review. HubSpot documents those task details. Write the next internal action and check its result at the next review. Completing a task does not prove the lead returned, accepted the quote or completed an installation. Keep those customer outcomes in their own records.

Keep unresolved reasons visible in the owner review

BlueFinch’s dashboard groups enabled tools and available connected sources. It is not an automatic tint CRM integration, and missing source data is not evidence of no activity. Review the underlying inquiry records separately from any overview number before deciding the shop has a pricing problem.

Download the loss-reason worksheet and assign the evidence gaps. Compare later decided cohorts using the same scope and reporting definitions if you change an offer. Leave current unresolved leads unresolved. The useful result is a supported decision about one actual problem, not a larger list of assumptions renamed as customer feedback.
