A wellness CRM family account should not turn one person’s message preference into permission to contact everyone in the household. Identify the individual account role, supported contact route and actual preference record before sending a message. Keep payer, participant and authorized contact as separate questions. Your office needs a reliable administrative handoff without sharing private information merely because profiles appear linked.

Identify who the proposed message concerns

Retrieve the Controlled Account Record and Non-Clinical Task(s). A payment question is for the payer, a scheduling question is for the participant(s) or properly authorized contact(s). Just because a family has a shared address, email account, or phone number does not mean one person is authorized to receive all account information for that family. Qualified review of another’s authority is needed to determine specific requirements.

Keep clinical or sensitive participation information outside the public worksheet. A family label in a CRM is an organizational feature, not a universal confidentiality or consent decision. Record the actual authorization reference in the approved system and use internal codes here. This article does not determine guardianship, health-record disclosure or a minor’s legal consent requirements. The membership and message-preference guide keeps commercial status separate from the relevant contact route.

Maintain separate channel and marketing preferences

Retrieve the relevant contact-route and preference records for the proposed recipient. A household member agreeing to email does not automatically grant SMS marketing permission to another member. Keep administrative contact, promotional permission and opt-out records distinct. FTC commercial-email guidance addresses its own requirements and unsubscribe handling, not every household text-message or privacy situation.

The contact-role sheet records the household reference, individual role reference, nonclinical task, authority evidence reference, channel-preference reference, permitted contact decision and owner. Use fictional codes only. It does not send messages, validate authority or change preferences. Filled fields organize the review, while the actual source records and qualified requirements establish whether the proposed route is permitted.

Use a fictional household to test the boundary

Suppose a fictional household has one payer and another adult participant. The payer permits a defined billing email route. That record does not establish permission to send promotional texts to the participant. The office should retrieve the participant’s own relevant preferences for the proposed promotion. The example contains no real family, clinical record or universal account-sharing rule.

If the participant changes a preference, verify which individual profile and channel the supported system updates. Do not overwrite the payer’s unrelated billing route by applying a household-wide change without review. Test the actual CRM behavior with safe fictional records. Record any unclear inheritance or linked-account setting before staff rely on an automation to select recipients.

Review linked-account changes without losing the history

When an account relationship changes, retrieve the current authority and preference records before the next contact. Preserve the reviewed history and use the supported process to update the relevant profile. Avoid copying old permissions into a replacement contact merely to keep a campaign list full. Assign an owner to any unresolved authority or suppression question.

Review any misrouted messages through your business’s designated privacy and incident process where necessary. The FTC’s information-security guidance sets out principles for limiting access to and dissemination of sensitive information on a need-to-know basis. These principles do not, however, certify any linked-account configuration. Your owner will thank you for an accurate person-specific contact route and corresponding administrative task, as opposed to a single family checkbox that serves as a proxy for unrestricted permission to send to recipients and send via channels. Use the household pack-transfer ledger when the request also concerns another person’s available class credits.
