The short version

  • Track the package purchase and session redemptions as separate events.
  • An unused-session allocation is not automatically the amount legally refundable.
  • Complete approved changes in both the payment record and the package balance.

A client buys a six-session laser hair removal package and uses two visits. Later, the client asks to change the treatment area or stop the package. The receipt shows the original payment. The calendar shows appointments. Neither alone answers how much service remains or which adjustments have already been made.

Use a package ledger to connect the original terms with actual redemptions. Keep the treatment record in your clinical system. The payment worksheet below needs package references and counts, not clinical notes or treatment details about an identifiable patient.

Separate buying the package from using a session

Record the package sold, included services, session count, price, discount, and terms version. Give the client a receipt and an accessible explanation of booking, transfers, changes, and cancellation. The front desk should know which package covers the next booking before checkout begins.

Square's package documentation treats purchase, redemption, and refund as separate operations. That distinction matters in any system: paying once for a package should not create a second charge each time an included visit is completed. If a client adds a service outside the package, identify the separate amount before collecting.

Record what each appointment did to the balance

Give each redemption a date and an appointment reference. Keep scheduled visits separate from completed visits. A future booking reserves time but does not necessarily mean a service was delivered. Apply any late-cancellation or no-show treatment according to the disclosed policy and applicable requirements.

If staff reverse a redemption, preserve the original entry and record the correction. Deleting the old appointment without a note makes a later balance disagreement harder to reconstruct. Assign a manager to approve transfers or exceptional credits so two staff members do not apply the same adjustment.

Worked example: six sessions sold, two used

This fictional example uses a $1,200 package containing six equally allocated sessions. The internal allocation is $200 per session. After two completed sessions, $400 is allocated to completed service and $800 to four unused sessions. These figures describe the chosen recordkeeping method, not a clinical outcome or an automatic refund right.

Assume the practice then approves and issues a $200 refund while removing one unused session under the applicable agreement. The ledger now shows $1,000 net collected, two sessions completed, and three remaining. The reconciliation is $400 completed allocation plus $600 remaining allocation. A different contract or allocation method requires different entries.

Review the request before calculating a payment adjustment

First confirm the original purchase, sessions used, previous credits, and the request. Then route clinical questions to the responsible provider and policy questions to the authorized manager. Do not ask front-desk staff to decide clinical suitability from a payment screen.

Real practices publish different package and refund terms. American Laser Med Spa's FAQ, for example, discusses unused-treatment calculations. Its policy is evidence of the issue, not a template for every practice. Use your reviewed agreement and applicable law when deciding the actual remedy.

Finish the adjustment in both systems

Issuing money back does not necessarily change the booking entitlement. Removing a session does not necessarily issue money back. Check both records and send the client a confirmation stating the resulting session balance and any financial adjustment.

Keep the original payment method and refund reference traceable. Ask your processor how original transaction fees, partial refunds, financing proceeds, and any approved two-price setup are handled. A percentage entered into a worksheet does not establish what the processor will return or what the client is owed.

Questions business owners ask

Is the unused package value always refundable?

No automatic conclusion follows from the arithmetic. The applicable agreement, circumstances, and legal requirements govern the remedy. This worksheet only reconciles records.

Should scheduled appointments reduce the package immediately?

Distinguish reservations from completed redemptions. Follow the documented booking and cancellation process, and keep reversals visible so staff are able to explain the balance.
